How to back up your shop's billing data (and test the restore)

When billing data lives on your own PC, you are the one who protects it. A good backup habit takes two minutes a day and saves the business if the PC fails.

Why backups matter more with local data

Offline billing software stores sales, products, customers and credit balances on the shop computer. That is a strength: it is fast, private and works without internet. It also means a failed hard disk, a stolen PC, a virus or a spilled cup of tea can take everything with it unless there is a copy somewhere else.

A backup is a copy kept away from the original. If it lives only on the same disk, it is not protecting you from a disk failure.

What to back up

In RathTech Billing POS, one-click backup packs the whole database and every product photo into a single portable ZIP file, so you do not have to find files by hand.

  • The billing database: every bill, product, customer, supplier and expense.
  • Product photos, if you use them.
  • Your settings, such as shop details and receipt header and footer.

How often

Back up at the end of every trading day. The most you can lose then is one day of sales. For a busy shop, add a mid-day copy during festival rush. Also back up before any big change, such as a bulk price update or an import, and before reinstalling Windows.

Where to keep copies (the 3-2-1 idea)

RathTech Billing POS can send an automatic daily backup straight to WhatsApp, which gives you an off-site copy without extra effort. It needs an internet connection at the moment it sends.

  • Keep at least three copies of important data: the live one and two backups.
  • Use at least two different places, for example the PC and a pen drive or external disk.
  • Keep one copy away from the shop, such as in your phone's cloud storage, a relative's PC, or sent to your WhatsApp.

A simple daily routine

  1. After the last bill, run the one-click backup.
  2. Copy the backup file to a pen drive or external disk.
  3. Confirm the WhatsApp copy arrived, if you have enabled it.
  4. Once a week, take the external disk home.

Test the restore

A backup you have never restored is only a hope. Once, at a quiet time, restore a backup onto another PC or a test install and check that bills, products and customer balances are all there. In RathTech Billing POS a backup restores your shop onto the same or a different PC, which is also how you move to a new computer. Knowing it works means a bad day is an inconvenience, not a crisis.

What to do if something goes wrong

If the PC fails or is stolen, install the billing app on a replacement machine and restore your latest backup. You will be back at the last backup point, which is why a daily habit matters. If a restore looks incomplete, do not overwrite your only copy: try the next older backup, and call us on +91 73958 37797 for help.

Mistakes to avoid

  • Keeping backups only on the same disk as the data.
  • Overwriting yesterday's file every time with no older versions.
  • Never testing a restore.
  • Letting one person hold the only copy.
